Privacy Policy
Effective Date: October 25, 2025
Data Collection and Usage
DealerConnect is committed to protecting the privacy of both our dealership clients and their end customers whose data is processed through our CRM services.
We act primarily as a data processor, managing customer information—such as purchase history, service dates, and email addresses—on behalf of the dealership, which remains the data controller.
The information we collect directly from our dealership clients includes contact details, business metrics, and technical access credentials necessary for CRM integration and email campaign deployment.
This data is strictly used for the provision of our specialized automotive email marketing services, including segmentation, automation setup, and performance reporting.
We do not share, sell, or rent customer personal data to third parties for marketing purposes unrelated to the services explicitly contracted by the dealership.
Data handled for email campaigns is rigorously protected using industry-standard encryption and access control mechanisms, aligning with Japanese data protection principles.
Specifically, email addresses are segmented to ensure that communications about new vehicle promotions, service reminders, or financing offers are relevant and compliant with opt-out preferences.
We employ analytics tools on our own website to measure traffic and engagement, helping us refine our service offerings, but this data is aggregated and anonymized where possible.
Client Responsibilities and Data Rights
Our dealership clients bear the primary responsibility for ensuring they have secured lawful consent from their customers for the email marketing activities we perform.
Clients must provide us with data that is current, accurate, and relevant to the agreed-upon marketing goals, especially concerning maintenance cycles (Shaken) and purchase anniversaries.
Customers maintain the right to access, rectify, or delete their personal data, and we facilitate the implementation of these rights promptly upon instruction from the data controller (the dealership).
We maintain records of all data processing activities, ensuring a transparent and auditable trail for compliance verification.
In the event of a data breach, DealerConnect is committed to notifying the affected client immediately, coordinating necessary mitigation steps, and fulfilling all regulatory reporting duties.
This policy is designed to uphold the highest standards of data security and privacy, recognizing the importance of trust in the sensitive automotive industry.
Any changes to this policy will be communicated directly to our clients and updated here promptly.
